What is lead generation? A plain guide for small business

Short answer: Lead generation means making interested people contact you. A lead is a person who has shown interest in what you sell and has given you a way to contact them: a phone call, a WhatsApp message, a filled form, or a walk-in who found you on Google Maps. For a small business in India, leads come mostly from Google Maps, Google Ads, Instagram, WhatsApp, and referrals, and at the time of writing a paid lead usually costs somewhere between ₹50 and ₹800 depending on the business.

Owners hear "lead generation" from agencies, from ads that promise "50 leads a month", and from apps selling "verified leads" by the hundred. The idea is the oldest one in business: someone asks about what you sell, and you follow up. This guide explains what lead generation is, the types of leads, where they come from online, what they usually cost, how to handle them, and how to judge anyone who offers to generate them for you.

What is lead generation? (lead generation meaning)

A lead is not a customer yet. It is a person who took one step towards you and left a door open. The moment a person calls from your Google listing, sends "price?" on WhatsApp, or types their number into your form, you have a lead. Lead generation is the set of things you do to make that happen more often.

For a shop, clinic, coaching class, or agency, it comes down to three things: be visible where people search, make it easy to contact you, and reply quickly. Everything else is detail.

Most owners we speak to count only forms as leads and ignore calls and WhatsApp messages. That makes their marketing look worse than it is.

Where do small-business leads come from online?

Each channel brings leads in a different way, at a different cost and speed. The figures below are typical ranges for local services at the time of writing, not promises. They vary a lot by city, business type, and how well the campaign is built.

Lead versus customer: why response time decides it

A lead becomes a customer when they pay. Between the two sits a gap that depends almost entirely on you, not on Google or Meta.

In our experience the biggest factor is speed. A person who messages three clinics at 11 am usually books with the one that answers first, as long as the answer is sensible. By evening the lead is cold. The second factor is clarity: a clear price or next step ("Come at 5 pm, bring your old report") converts far better than "Please call for details."

This is why buying more leads rarely fixes a slow-reply problem. If you convert one in ten, doubling the ad budget doubles the wasted leads. Fixing the reply costs nothing.

A simple lead system for a small business

You do not need software to start. You need one number and a few habits.

  1. One WhatsApp Business number for all enquiries. Put it on the website, Google profile, Instagram bio, ads, and your visiting card. Do not split leads across staff phones you cannot see.
  2. Use labels. WhatsApp Business lets you tag chats: "New", "Quoted", "Follow up", "Booked", "Lost". Tag every chat as soon as it arrives. This alone tells you how many leads you got this month.
  3. Reply within minutes. Set quick replies for the five questions you get most: price, timings, location, availability, and "do you deliver?". A fast, slightly imperfect reply beats a perfect reply an hour later.
  4. Follow up three times. Once the same day, once after two days, once after a week. Polite and short: "Hi, still looking for a tutor for class 10 maths? Batches start Monday." Most owners follow up zero times and lose leads that were ready.
  5. Ask for a review after the sale. Send your Google review link on WhatsApp right after the customer is happy. Reviews bring the next lead for free.
  6. Count once a week. Leads received, leads booked, and where each came from. Ten minutes on Sunday is enough.

What do lead generation services and agencies actually sell?

"Lead generation services" cover very different things, and the difference matters.

Good: an agency builds your Google profile, runs Google or Meta ads in your account, sends the leads to your own WhatsApp number, and shows you a report of what was spent and what came in. The leads are yours, the accounts are yours, and if you stop, you keep everything.

Risky: a company sells you "50 leads a month" for a fixed fee from campaigns you cannot see, in accounts you do not own. You cannot tell whether the ad text matched your service, whether the leads are shared with three competitors, or whether they are fresh.

Bad: someone sells a list of names and numbers ("2,000 verified leads in your city"). These are not leads. Nobody on that list asked about you, most numbers are stale or shared, and bulk-messaging them on WhatsApp can get your number banned.

What to watch for

  • Shared lead lists. Ask: "Does anyone else receive these same leads?" If the answer is vague, assume yes.
  • Fake or junk leads. Forms filled with random names, calls that disconnect, numbers that never reply. Track how many leads actually respond when you call back.
  • Cost-per-lead promises. Nobody can guarantee "leads at ₹100" before running ads. A fair agency gives a range after two to four weeks of real data.
  • No report. You should see spend, clicks, leads, and cost per lead every month, in plain language.

How to measure cost per lead and cost per customer

Two numbers tell you whether your marketing works. Both are simple division.

Cost per lead = money spent ÷ number of leads. Cost per customer = money spent ÷ number of leads who paid.

A worked example for a physiotherapy clinic, using made-up but realistic numbers:

Looking only at the first visit, this seems like a loss. Looking at what a patient spends over a full course, each ₹2,083 spent brings in about ₹8,000. That is why you must know what a customer is worth over time, not just today, before deciding whether a lead is "expensive".

Now change one thing: the clinic replies within five minutes and follows up twice. Bookings go from 12 to 18 on the same spend, and cost per customer drops to about ₹1,170. That is the point of the lead system above.

Common lead generation mistakes

  1. Buying leads before fixing the reply. More leads into a slow inbox means more wasted money.
  2. No single place where leads land. Calls on one phone, WhatsApp on another, forms in an email nobody opens.
  3. Ads sending people to a homepage that has no WhatsApp button. The person clicked, could not find how to ask, and left.
  4. Chasing volume over fit. Fifty enquiries from the wrong area or budget cost more time than ten good ones.
  5. Never asking where the customer came from. One question at billing ("How did you find us?") tells you which channel to fund next.
