Privacy Policy

This page explains, in simple words, what information KarmaSoftech collects, why we collect it, and what you can ask us to do with it. KarmaSoftech is a small business based in India. We collect as little as possible.

The short version

  • We only collect what you choose to give us, and what we need to do your work and send invoices.
  • This website does not use cookies for visitors, visitor tracking, or advertising tools.
  • We do not sell your information. We do not send marketing messages without your permission.
  • You can ask us to show, correct, or delete your information at any time.

What we collect, and why

When you message or call us

When you message us on WhatsApp, call us, or email us, we receive your name, your phone number or email address, and whatever you choose to tell us about your business. We use this to answer your questions and send you a quote.

When you fill in the form on our Contact page, we receive your name, your phone number and email address (whichever you give), the service you are interested in, and your message. We save these in our own database so we can reply to you. To stop spam, the website also counts how many forms come from one internet address in an hour. It keeps only a scrambled version of that address, which cannot be read back, and deletes it within about an hour.

When you become a client

  • Business and billing details: your business name, address, contact person, and GST number if you have one. We use these to prepare invoices and keep the records the law requires.
  • Payment records: the amount, the date, and the payment reference. We never ask for your card number, UPI PIN, or bank password, and this website does not take payments.
  • Material for your work: the photos, logo, text, and business information you give us. We use them only to build what you have asked for.

Access to your accounts

To manage things like your Google Business Profile, ad accounts, domain name, or website, you give us access. You stay the owner, and you can remove our access at any time. We use the access only for the work we have agreed, and we never share your logins with anyone outside our team.

Your customers' details (WhatsApp automation)

If we set up WhatsApp automation for you, the system handles your customers' phone numbers and messages. That information belongs to you and your customers. We handle it only on your behalf and on your instructions, to set up and run your service. We do not use it for anything else. You are responsible for having your customers' permission to message them, as WhatsApp's rules require.

Cookies and what this website stores

  • This website does not set cookies for visitors. It has no visitor tracking and no advertising tools. The only cookie on the site is a login cookie used by our own team on our private admin page.
  • To show visitors in the US the right version of the site, a small script looks at the time zone set on your device. This happens inside your browser. We do not receive or store it.
  • Like every website, ours is stored with a hosting company. Hosting companies keep short-lived technical records (such as IP address, browser type, and time of visit) to keep websites secure and working. We do not use these records to identify you.
  • The buttons on this site open WhatsApp, your phone’s dialler, or your email app. Once you are there, that company's own privacy policy applies.

How we use your information

  • To reply to your questions and send you quotes.
  • To deliver the services you have asked for, and to send you reports about them.
  • To send invoices and keep the records the law requires.
  • To handle complaints and protect our business if there is a dispute.

We do not sell your information. We do not add you to marketing lists without your permission. If you ever receive a message from us that you did not want, tell us and we will stop.

We will only name your business or show your work as an example if you have clearly said yes. See our Terms of Service.

Who we share it with

  • Companies needed for your work. For example, we use your business details to set up your Google Business Profile, ad accounts, domain name, or WhatsApp Business account with Google, Meta, or a domain and hosting company. They handle the information under their own privacy policies.
  • Tools we use to run our business. The messages and invoices we exchange with you are stored in our email and WhatsApp accounts. What you send through the form on our Contact page is stored in a cloud database (MongoDB Atlas), and this website runs on a hosting company (Vercel). Both handle the information only to provide their service to us.
  • Our accountant or tax adviser, when billing records are needed for tax filing.
  • The authorities, only when the law requires us to.

We do not share your information with anyone else.

Where your information is kept

KarmaSoftech is based in India, so your information is handled in India. Some of the tools we use, such as email, Google services, our website host, and our database, store information on servers in other countries.

How long we keep it

  • Enquiries: we keep your messages only while they are useful for helping you. You can ask us to delete them at any time.
  • Client work: we keep your project files while we work together and for a reasonable time afterwards, in case you need them again. You can ask us to delete them or hand them over.
  • Invoices and payment records: we keep these for as long as tax law requires, which is usually between six and eight years.
  • Account access: when our work together ends, we remove our access to your accounts, or you can remove it yourself at any time.

How we protect it

We keep your information in password-protected accounts, and only the people working on your project can see it. No system is perfectly safe. If something ever goes wrong that affects your information, we will tell you promptly, explain what happened, and tell you what you can do.

Your rights and choices

You can ask us to:

  • show you the information we hold about you, and who we have shared it with;
  • correct or update it;
  • delete it, unless the law requires us to keep it (for example, invoices);
  • stop using it, if you earlier gave us permission and have changed your mind.
  • name another person who can make these requests for you if you are unable to.

To do any of these, email contact@karmasoftech.com or message us on WhatsApp from the email address or phone number you used with us, so we know it is you. There is no charge. We confirm that we have received your request within two working days, and we complete it within 30 days.

Complaints and our Grievance Officer

If you are unhappy with how we have handled your information, write to our Grievance Officer. We confirm that we have received your complaint within two working days and resolve it within 30 days.

If you are not satisfied with our answer, you have the right to complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.

Children

Our services are for business owners. This website is not meant for anyone under 18, and we do not knowingly collect information from them. If you believe a child has sent us their details, tell us and we will delete them.

Changes to this policy

If we change this policy, we will update this page and the date at the top. If a change affects how we use information you have already given us, we will tell our current clients directly.
