WhatsApp Business API pricing in India, explained simply

Short answer: The WhatsApp Business API has two costs in India: Meta charges per message (at the time of writing, marketing messages cost roughly ₹0.78 each and utility messages such as reminders roughly ₹0.12, while replies inside a 24-hour customer conversation are free), and the software provider charges a monthly fee, typically ₹999 to ₹3,500. A small clinic or shop usually spends ₹1,500 to ₹4,000 a month in total. The free WhatsApp Business app on your phone costs nothing and is enough for many small businesses.
WhatsApp pricing is confusing on purpose. Meta publishes rates in US dollars per message category, providers add their own plans on top, and every website you visit says something different. This guide puts the whole bill in one place in rupees, shows a worked example, lists the hidden costs, and tells you honestly when you do not need the API at all.
First: the app and the API are different products

If you are not sure which you need, the answer is almost always: start with the app, set it up properly, and move to the API when the chats become more than one person can handle.
Who charges what
When you use the API, money goes to three places:
- Meta (WhatsApp) charges per message you send, based on the message type. This is the same whichever provider you use.
- The provider (called a BSP, or Business Solution Provider, such as AiSensy, WATI, Interakt, Gallabox, Zoho, or Twilio) charges a monthly platform fee for the dashboard, chatbot builder, and team inbox. Some also add a small markup per message.
- Whoever sets it up (an agency or freelancer) charges a one-time setup fee if you do not do it yourself.
Meta's per-message rates for India
Meta changed from per-conversation to per-message pricing on 1 July 2025. The approximate rates for India at the time of writing (Meta publishes them in USD, so the rupee figure moves with the exchange rate) are:

Two things to notice. First, most of a small business's WhatsApp traffic is free: when a customer messages you and you reply, it costs nothing. Second, marketing messages cost about six times more than utility messages, so a reminder sent as a "utility" template is far cheaper than the same message dressed up as a promotion. Always check the current rates on Meta's official pricing page before you budget; they change.
Provider platform fees in India
Typical monthly plans at the time of writing:

Many providers offer a free or ₹0 base plan and then charge a markup on every message instead. That is cheaper if you send little and dearer if you send a lot. Ask for the per-message price, not just the monthly price.
A worked example: a clinic
A dental clinic with 400 patients a month:
- 800 appointment reminders (utility) ≈ 800 × ₹0.12 = ₹96
- 1,000 festival offer messages (marketing) ≈ 1,000 × ₹0.78 = ₹780
- 600 patient questions answered inside 24 hours (service) = ₹0
- Provider standard plan = ₹2,500
Total: about ₹3,400 a month, or under ₹10 per patient, for reminders that reduce no-shows and an inbox two receptionists can share. The same clinic using unofficial bulk-sending software risks losing the number entirely.
The hidden costs
- Setup and flows. Someone has to design the menu, write the messages, create the templates, and connect the number. Do-it-yourself takes a weekend or two; professionals charge a one-time fee.
- Facebook Business verification. Free, but it needs your GST certificate or another proof of business, and it can take a week. Without it, sending limits stay low.
- Template rejections. Marketing templates written like spam get rejected, and each rejection costs a day.
- A number you cannot use in the app any more. Once moved to the API, the number works only through the provider's dashboard. Plan for that.
- Provider lock-in. Your contact list and chat history live in the provider's system. Export them regularly.
- Message quality rating. If people block or report you, Meta cuts your sending limits. Sending only to people who opted in is not just polite, it protects your money.
When the free app is enough
Stay on the free WhatsApp Business app if:
- You get fewer than around 50 customer chats a day.
- One person (you) answers them.
- You send offers to a few hundred customers at most, and they have your number saved.
- You mainly need a catalogue, quick replies, a welcome message, and an away message.
A well-set-up free app with a catalogue, labels, quick replies, and a click-to-chat link on your Google profile and website already does more than most small businesses use.
When the API is worth paying for
Move to the API when:
- Customers message you at night and expect an answer, and you want a menu to handle common questions automatically.
- You take orders, bookings, or appointments on WhatsApp and want a flow that collects the details.
- You want automatic reminders and follow-ups (appointments, payments, deliveries, "how was your visit?").
- Two or more staff need to answer from one number.
- You want to send offers to your whole customer list with buttons and see who clicked.
At that point ₹2,000 to ₹4,000 a month usually pays for itself in saved staff time and fewer missed customers.

Common questions
Is the WhatsApp Business API free?
No. The WhatsApp Business app on your phone is free. The API (the version that allows automation, chatbots, and bulk messages to customers who opted in) charges per message you send, plus a monthly fee to the software provider you use to access it. Replies to customers who message you first are free within 24 hours.
Can I use my current WhatsApp number for the API?
Usually yes. The number is moved from the app to the API, and after that it no longer works in the phone app; you use the provider’s dashboard or a connected tool instead. Ask your provider to check the number before you commit, because a few numbers cannot be moved.
Will my number get banned for sending bulk messages?
Not on the official API, as long as you message only people who agreed to hear from you and you keep a good quality rating. Numbers get banned when owners use unofficial bulk-sending tools or message people who never opted in. We only use the official system.

Start with the free app if you get fewer than about 50 customer chats a day and one person handles them. Move to the API when you want automatic replies at night, an ordering or appointment flow, reminders, several staff answering from one number, or offers sent to your whole customer list.
What is a template message?
Any message you send to a customer more than 24 hours after their last message, or a message you start yourself, must use a pre-approved template. Meta approves templates in a few hours to a day. Marketing templates cost the most per message, utility templates (order updates, reminders) cost much less.
