Short answer: An AI chatbot for a website answers visitor questions in a chat window, 24 hours a day, using text you give it. It helps when you get the same questions after hours, but for most Indian small businesses a WhatsApp flow beats a website chat window, because customers already live on WhatsApp and you keep their number. Free website chat tools exist and are fine for a start; AI receptionists and calling agents are newer, usually priced per minute, and worth it only for high call volumes.
Owners ask us about an AI chatbot for their website for the same reason every time: enquiries come in at 10 pm, the same five questions get asked all day, and someone is paying to answer them or losing the lead. This post explains what a website chatbot does compared with a WhatsApp bot and an AI receptionist, when each helps and when it hurts, the free and paid options, what to feed the bot, a five-question checklist, and what we honestly recommend.
Website chatbot, WhatsApp bot, AI receptionist: what is the difference?
The words get mixed up in sales pitches, so here is the plain version.
Website chatbot. A small chat bubble on your website. It can be three different things: live chat (a person, usually you, replying from an app), a menu bot (buttons like "Timings", "Prices", "Book"), or an AI chatbot that reads your pages and FAQs and writes replies in its own words. The visitor has to stay on your site; close the tab and the conversation is gone unless they left a number.
WhatsApp bot. The same idea, but inside the customer's WhatsApp. It ranges from the free WhatsApp Business app with a welcome message and quick replies, up to an automated flow on the official WhatsApp API that shows a menu, takes bookings or orders, sends reminders, and hands over to a human. You get the customer's number every time, and they can come back a week later in the same chat.
AI receptionist or AI calling agent. Software that answers phone calls (or makes them) in a human-like voice, takes the caller's name and need, answers set questions and books a slot. "AI agent for business" is the broader term sellers use for anything that acts on your behalf, including bots that qualify leads or chase payments. These are newer, more expensive, and still uneven in Hindi and regional languages.
When a small business benefits from a chatbot
A bot earns its keep when the work is simple, repeated and time-sensitive:
- Enquiries after hours. A clinic, salon or coaching class gets messages at night; the bot answers timings and fees and captures the number so you call back in the morning.
- The same questions, all day. Prices, location, parking, delivery area, what documents to bring. If your staff answer these fifty times a day, a menu bot pays for itself.
- Appointment booking. Show free slots, take a booking, send a reminder the day before. This alone reduces no-shows for clinics and salons.
- Order status and simple orders. "Is my order ready?" or a fixed menu with a few choices for a bakery or tiffin service.
- Collecting details before a human takes over, so the callback is useful.
When a chatbot hurts
- Complex advice. Choosing between treatments, which flat to buy, how to structure a loan. The bot will sound confident and be wrong.
- Medical, legal and financial questions. A chatbot must not diagnose, prescribe, quote a legal position, or take sensitive personal data without consent. Keep it to timings, fees and booking.
- Angry customers. Someone with a complaint wants a human within seconds. A bot that keeps offering a menu makes it worse and ends up screenshotted.
- A business with no written answers. A bot only knows what you give it. If your prices live in your head, fix that first.
- Low volume. Four enquiries a day are better answered personally on WhatsApp.
Your options at the time of writing
Prices below are typical ranges we see at the time of writing; most tools bill in US dollars, change plans often, and add taxes, so check before you sign up.
- WhatsApp click-to-chat button. A link or button on your site that opens a chat with your business number. Free, no software, and the simplest "bot" there is. Add it to every page.
- WhatsApp Business app (free). Welcome and away messages, quick replies, a catalogue and labels. Not intelligent, but it covers the after-hours problem for a one-person business.
- Tawk.to. Free live chat with unlimited agents; you reply from the app. Paid add-ons such as removing their branding or hiring their agents. No real AI on the free plan.
- Tidio. Live chat plus a menu bot and an AI answer bot. A free plan with a small monthly conversation cap; paid plans typically start around ₹2,000 to ₹5,000 a month and rise with volume.
- Crisp. Live chat, shared inbox and bots. A free basic plan for a small team; paid plans typically ₹2,000 to ₹8,000 a month.
- Chatbase and other ChatGPT-based bots. You upload your pages and FAQs and get an AI chat bubble that answers in its own words. Free tiers are limited to a handful of messages; paid plans typically ₹3,000 to ₹8,000 a month depending on message volume. Good answers, but they need clear source text and a human handover.
- Official WhatsApp API flows. Menus, booking and order flows, reminders, broadcasts and human handover, built on a provider platform. Expect a one-time setup, a provider fee typically ₹1,000 to ₹3,000 a month, and Meta's per-message charges, which are usually a few paise to about a rupee each depending on the type of message. - AI receptionist and calling agent products. Several products now answer calls in English and Hindi. Pricing is usually per minute of call time (typically in the range of a few rupees to ₹15 a minute at the time of writing) or a monthly plan starting from a few thousand rupees, plus a setup fee. Test the Hindi or regional voice with real callers before paying.

What to feed the bot
Every bot, free or paid, is only as good as the text behind it. Before you switch anything on, write these in a simple document:
- The 20 questions customers actually ask, with the exact answer you give. Pull them from your WhatsApp history.
- Prices or starting prices for every service, and what is included.
- Timings, holidays, and the last booking slot.
- Service list in customer words ("root canal", not "endodontic treatment").
- Location and directions, parking, and the Google Maps link.
- What happens next: how to book, what to bring, how long it takes.
- When to hand over to a human, and the number it should give.

Five questions before you buy any chatbot
- Where do my customers already message me? If the answer is WhatsApp, start there, not on the website.
- Can a human take over instantly? Test it. A bot with no handover loses angry and high-value customers.
- Does it work in my customers' language? Hinglish, Gujarati or Tamil messages should get sensible replies, not "I did not understand".
- Where do the enquiries go? Into your WhatsApp, an email, or a dashboard nobody opens? You want the number and the question on your phone.
- What does it cost at ten times today's volume? Free tiers look cheap until the bot works.
Privacy: what a chatbot must not do
A chat window feels casual, but it collects personal data. Do not let a bot ask for health conditions, bank or card details, ID numbers, or anything sensitive without a clear reason and the person's consent. Say plainly at the start that it is an automated assistant. Store enquiries somewhere you control and delete what you do not need. If you run a bot on your website, mention it in your website's Privacy Policy, including what is collected and who the tool provider is. Clinics and financial advisers should be especially careful, and should keep the bot to booking and timings.

For most Indian small businesses a WhatsApp flow beats a website chat window. The customer already has WhatsApp open, you get their number instead of an anonymous session, you can send a reminder or a follow-up next week, and the same flow works whether they came from Google, Instagram or a hoarding. A website chat bubble makes sense on top of that when the site itself gets steady traffic and someone is free to answer, and a free live chat tool is enough for that.
